Privacy policy.
What information this website collects, what we do with it, and your rights.
Last updated
This policy explains what information conkercup.com collects when you visit it or apply for the Conker Cup Tournament, and why. The site is run by Conker Cup ("we", "us"). If you have any questions, email hello@conkercup.com.
In short
- If you apply for the tournament, we collect the details on the application form and use them to consider your application for this year's tournament. We keep them for future tournaments only if you tick the optional box that asks for your consent. You can ask us to delete them at any time.
- The website sets no cookies of its own.
- It uses no analytics or advertising trackers.
- We do not sell your information or use it for advertising.
Information you give us
Tournament applications
When you apply for the Conker Cup Tournament using the form at conkercup.com/apply, we collect:
- your full name
- your email address
- your mobile number
- whether you are a Conker Cup veteran or a nut sport debutant
- one interesting fact about yourself
- whether you would like to take part in a practice round
- your confirmation that you understand we will use these details to consider your application
- whether you consent to us keeping your details for future tournaments (optional), and, if you do, the wording you agreed to
What we use it for. We use these details to consider your application for this year's tournament, to contact you about it, and to invite you to take part. If you tick the optional consent box, we also use them to consider you for future tournaments.
Where it is kept. Your application is stored in a database run by Upstash, provided through our website host, Vercel. When you apply, a copy of your details is also emailed to the organisers using Resend, an email delivery service.
How long we keep it. If you did not tick the optional consent box, we delete your application after this year's tournament. If you did, we keep it so that we can consider you for future tournaments, until you withdraw your consent. Either way, you can ask us to delete your application at any time by emailing hello@conkercup.com, and we will remove it from our records.
If you email us at hello@conkercup.com, we use your email address and message to reply to you, and keep them only as long as needed to do so.
Newsletter
The newsletter sign-up in the footer of each page is not active. It does not collect or send any information.
Information collected automatically
- Protecting the application form. When you submit an application, your IP address is used to limit how many applications can be sent from one connection, to stop automated misuse. Only a hashed (scrambled) form of the address is stored, never the address itself, and it is deleted automatically within one hour.
- Hosting. This website is hosted by Vercel. Like any web host, Vercel's servers process technical information to deliver each page, including your IP address, your browser type, the page requested and the time of the request. Vercel uses this to operate and secure the service. We do not use it to identify you.
- Fonts. The site's typefaces are loaded from Google Fonts. When a page loads, your browser requests the fonts from Google's servers, which receive your IP address and browser information. See Google's privacy policy.
- Videos. Videos on the Training page are YouTube videos. Nothing is loaded from YouTube until you press play. They then play through YouTube's privacy-enhanced mode (youtube-nocookie.com), and YouTube's privacy policy applies to the video. Some other pages and blog posts link to videos on YouTube itself.
- Offline copy (Tournament Essentials). If you visit the Tournament Essentials page, your browser may save a copy of that page, the rules page, and the site's fonts and images on your device, so they work without a connection. This copy stays on your device. It contains no personal information and is not sent to us. You can remove it by clearing this site's data in your browser settings.
Why we are allowed to use it
UK data protection law requires a lawful basis for using personal information.
- This year's application: necessary to process it. When you apply, you ask us to consider you for this year's tournament. Using your details to do that, and to contact you about it, is necessary to process your application, so we do not ask for your consent for it. The form asks you to confirm you understand this, and we cannot accept an application without that confirmation.
- Future tournaments: your consent. Keeping your details to consider you for future tournaments relies only on your consent, which you give by ticking the optional box on the form. It is not a condition of applying: you can apply without ticking it, and your application is considered in exactly the same way. You can withdraw your consent at any time by emailing hello@conkercup.com, and we will delete your application. Withdrawing consent does not affect anything we did with your details before you withdrew it.
- Protecting the form: our legitimate interests. Using a hashed form of your IP address to limit repeated submissions is not something you consent to individually. We rely instead on our legitimate interest in protecting the application form from automated misuse. The hash is deleted within one hour.
Who we share it with
We share your information only with the service providers named above (Vercel, Upstash and Resend), which handle it on our behalf to run this website and the application form. We do not sell it or share it with anyone for marketing. Some of these providers are based in, or process information in, the United States. Where your information is transferred outside the UK, it is protected by the providers' data protection terms.
Our previous website
If you applied for the tournament or left your details through our previous website, which was hosted by Wix, those details have not been carried over to this website. They will be deleted when the old website is closed.
Links to other websites
This site links to other websites, including our social media accounts, YouTube and other conker organisations. Their own privacy policies apply once you leave conkercup.com.
Your rights
Under UK data protection law (UK GDPR), you have the right to:
- ask for a copy of any personal information we hold about you
- ask us to correct or delete it
- object to or restrict how we use it
- ask for it to be transferred
- withdraw your consent at any time, where we rely on it
We will respond within one month. To make a request, email hello@conkercup.com.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office (ico.org.uk).
Children
This website is not directed at children under 13, and we do not knowingly collect personal information from them.
Changes to this policy
We will update this policy whenever the website changes what it collects, for example if the newsletter sign-up or online checkout is switched on. The date at the top of this page shows when it last changed.
